The firm is seeking an Administrative Assistant to join Farber’s Corporate Division. The successful candidate will be a dedicated administrative support to our Interim Management & Executive Search, Performance Improvement, Circle & Square, and Farber Financing Solutions business units.

Key duties & responsibilities

  • Attending regularly scheduled business unit meetings and assist in ensuring follow up/action items identified at those meetings are completed
  • Assisting in the preparation of various correspondence, memos, reports, presentations, packages, emails, schedules, etc.
  • Preparing invoices, engagement letters, and expense reports
  • Updating and tracking invoices and recoverable expenses for billing purposes (currently done in Excel)
  • Scheduling and organizing appointments, meetings, lunches, retreats, seminars, speaking engagements, etc., including making travel arrangements where necessary
  • Performing searches and credit checks on new clients as requested
  • Registering staff for various educational conferences and marketing events and tracking of same for reporting purposes
  • Maintaining and adding contacts to CRM databases
  • Assisting the Marketing Department from time to time and upon request
  • Providing back up and relief of reception duties

Knowledge & skills

  • Five years of relevant work experience, preferably in a small/medium sized company or professional services firm
  • Confidence in interacting with all levels of management and with external clients
  • Strong administrative skills and a focus on client service
  • Professional, upbeat, and positive attitude
  • Ability and enthusiasm to learn and be part of a team
  • Strong computer related proficiencies, including Microsoft Office/365 (Word, Excel, PowerPoint, and Outlook)
  • Excellent organization and communication skills, including the ability to write and express yourself verbally in a professional manner
  • Ability to work in a team environment and be able to adjust to various types of tasks/demands quickly as well as the ability to work independently and with little supervision to accomplish tasks/demands adequately and efficiently
  • Time management skills including the ability to prioritize multiple and sometimes conflicting demands and often work under time pressures and deadlines
  • Detail-oriented with strong collaboration skills

Education & experience

  • University degree or College diploma required
